Building the missing data layer for Apple in European schools

Deploying iPads and Macs across European schools runs into the same wall every time: getting student and staff rosters out of the local gradebook and into Apple School Manager. Every major Polish system — Vulcan UONET+, Librus Synergia, Mobidziennik — uses its own export format. The same is true across the rest of Europe. Schools have historically bridged the gap with monthly CSV exports, manual column renames, and a spreadsheet workflow that consumes hours per term and fails silently. For Apple deployment partners scaling to fifty schools or more, that workflow does not scale at all.

We built School Data Manager (SDM) to remove that layer of work entirely. SDM is a multi-tenant SaaS platform that connects to every major European gradebook through native API connectors and publishes to Apple School Manager and Jamf School on an automated schedule. Each connector is written once and reused across every tenant. Schools sign up, enter their SIS credentials, approve the data preview, and rosters stay current from then on — hourly, daily, or weekly, depending on how often the school’s data changes. Validation errors are caught before publication and mapped to the exact row that caused them. Every sync is logged. Every run is reversible.

The platform runs on Condactis-operated infrastructure in Frankfurt and Warsaw. Student data never leaves the EU. Credentials are encrypted at rest. The audit log is complete enough to satisfy DPO review without further evidence collection. New SIS connectors are added on customer request at no additional cost, which keeps the platform expanding with the market rather than locked to a fixed vendor list. SDM today serves schools directly, regional Apple Authorized Education Specialists, and ministry-led digitization programs across Poland and the broader region.

Key outcomes of this project include:

  • Onboarding time per new school reduced from weeks of integration work to under an hour.
  • Manual roster exports eliminated entirely after initial setup.
  • Scheduled, validated publication to Apple School Manager and Jamf School with no failed syncs going undetected.
  • Complete audit trail and rollback for every run, meeting school IT and Data Protection Officer requirements without additional documentation.
  • A connector platform that scales linearly with the market: one new SIS, one new connector, every existing customer benefits.
